Section A — Short answer
1. State four functions of an office (4 marks)
- Receiving information — incoming mail, calls and enquiries
- Recording information — filing documents and keeping registers
- Processing information — computing, sorting and summarising data
- Communicating information — distributing it internally and externally
- Safeguarding assets — securing cash, documents and equipment

2. Distinguish between wholesalers and retailers (2 marks)

3. State four factors that cause a rightward shift of the demand curve (4 marks)
- Increase in consumer income (for normal goods)
- Increase in the price of a substitute good
- Decrease in the price of a complementary good
- Change in taste and preference in favour of the good
- Expectation of a future price rise
- Increase in population

The distinction that is examined every year: a change in the price of the good itself causes a movement along the curve, not a shift. Listing "a fall in price" here scores zero — it is the one answer the question is designed to catch.
4. Explain three advantages of a sole proprietorship (3 marks)
- Easy to form — few legal formalities and little capital required, so the business can start trading quickly
- Quick decision-making — the owner does not consult anyone, so the business responds fast to changes
- Owner retains all profits — a direct incentive to work efficiently
- Privacy of accounts — no legal obligation to publish financial statements
Where the marks sit: any 3. The command is explain, so each needs the point plus its consequence. "Easy to form" alone is a state answer and scores half.
5. State four documents used in home trade (4 marks)
- Invoice — demands payment and states goods supplied and amount due
- Delivery note — accompanies goods, signed by the buyer on receipt
- Credit note — issued for returns or overcharges, reducing the amount owed
- Debit note — issued for undercharges, increasing the amount owed
- Receipt — acknowledges payment received
- Statement of account — summarises transactions over a period
Frequently confused pair: a credit note reduces what the buyer owes (returns, overcharge); a debit note increases it (undercharge). Credit note is traditionally printed in red.

- Debit the Cash account (an asset increases) — 1 mark
- Credit the Capital account (a liability of the business to the owner increases) — 1 mark
The rule to hold on to: debit the receiver, credit the giver; for assets, debit increases; for capital and liabilities, credit increases.
Why capital is credited: the business and the owner are separate entities. Money the owner puts in is owed back by the business, so it is a liability of the business.
7. State three functions of the Central Bank of Kenya (3 marks)
- Issuing currency — the sole authority for notes and coins
- Banker to the government — holds government accounts and manages public debt
- Banker to commercial banks — holds their reserves and acts as lender of last resort
- Controlling money supply through monetary policy instruments
- Managing foreign exchange reserves
Where the marks sit: any 3, 1 mark each.
Common mistake: listing "accepting deposits from the public" or "giving loans to the public". Those are commercial bank functions. The Central Bank does not deal with individuals.
8. State four factors considered when choosing a means of transport (4 marks)
- Nature of the goods — perishable, fragile or bulky
- Cost of the means relative to the value of the goods
- Urgency — how quickly delivery is required
- Distance to be covered
- Value of the goods — high-value goods justify faster, more secure transport
- Availability of the means on the route
9. Explain two ways in which government expenditure can affect the economy (2 marks)
- Increased spending on infrastructure creates employment and raises incomes, which increases aggregate demand and can stimulate growth
- Excessive spending financed by borrowing can raise the national debt and crowd out private-sector investment, since government borrowing competes for available funds
Where the marks sit: each needs the action and its effect. Balanced answers that show one positive and one negative are looked on well in explain questions.
10. Distinguish between fixed capital and working capital (2 marks)
- Fixed capital — funds tied up in long-term assets such as buildings, machinery and vehicles, used repeatedly over several years
- Working capital — funds available for day-to-day operations, calculated as current assets − current liabilities
Where the marks sit: 1 mark each, and working capital needs the formula or an equivalent statement.
How to score well in Business Studies Paper 1
- Obey the command word. State, list and name want the point only. Explain and describe want the point plus a consequence. Writing an essay for a state question is the most common way candidates run out of time.
- Give the number asked. Four points for four marks. A fifth earns nothing.
- Use the technical term. Credit note, lender of last resort, working capital — the syllabus vocabulary is what markers scan for.
- Watch the demand-curve trap. Shift versus movement along appears almost every year.
